KairoHub Privacy Policy

When you use the KairoHub mobile application, we collect various types of information to provide and improve our services.

This includes personal information you provide during account registration, as well as data automatically collected during your use of the app.

We collect both precise (GPS) and coarse location data from your device.

CRITICAL: We collect Background Location Data (even when the app is closed or not in use). This is strictly necessary to enable geofencing features and to accurately mark employee attendance based on physical presence at designated work locations.

You will be prompted to grant background location permissions within the app. If you choose not to grant these permissions, the automated attendance features will not function correctly.

We require access to your device's camera and photo gallery.

This access allows you to capture new images or select existing photos from your device to upload as product images or profile pictures within the app.

The app requires access to your device's microphone to facilitate in-app video and audio calls.

We use Agora RTC and CallKit to provide Voice over IP (VoIP) call functionality. Your audio data is processed in real-time during these calls to enable communication.

We request read and write access to your device's local storage.

This is necessary to allow you to select, upload, download, and save files and documents required for your work within the app.

We collect your device token to send you push notifications.

These notifications include important app updates, incoming call alerts, and relevant operational messages delivered via Firebase Cloud Messaging.

To improve app stability and user experience, we use Firebase Crashlytics.

This service automatically collects device information (such as OS version and device model), IP addresses, and crash logs when the app experiences an error.

We utilise your device's built-in biometric authentication features (such as FaceID or TouchID) to provide secure login.

Biometric data remains securely stored on your device. We do not transmit, collect, or store biometric templates on our servers.

We may request Bluetooth permissions.

This is used exclusively to scan for and connect to relevant nearby Bluetooth peripherals required for specific app features.

We use the collected data primarily to operate, maintain, and enhance the KairoHub application.

Specific uses include managing employee attendance via location data, facilitating communication features, providing customer support, and monitoring app performance to fix bugs.

We rely on third-party services to power specific features within KairoHub:

• Google & Firebase: Used for Cloud Messaging (push notifications) and Crashlytics (crash reporting).

• Agora: Used to facilitate real-time audio and video communications.

These third parties process your data according to their own privacy policies.

We retain your data for as long as your account is active or as needed to provide you with the app's services.

Location logs and attendance records are retained as required by your employer's policies or applicable laws. If you wish to have your data deleted, please contact us or your organisation's administrator.

Depending on your jurisdiction, you have the right to access, correct, update, or request deletion of your personal information.

You can manage app permissions (such as location, camera, and microphone access) directly through your device's settings at any time.

We may update this Privacy Policy from time to time to reflect changes in our practices or regulatory requirements.

We will notify you of any material changes through the app or via other communication channels.
